Abdellah Ibru Oumi Mektum Quran Mehaber would like to invites competent and interested candidates for the following positions.

Position 1: Administrative Assistant

Job Summary

The Administrative Assistant is responsible for assisting the overall leadership and coordination for the implementation of Abdellah Ibnu Umi Mektum Quran Association (AIUM) operational plans with quality, cost effectiveness and application of appropriate methodologies through cascading annual performance plan and employee performance plan and institutionalizing performance management system in line with the organization’s vision, goals, and strategic plan. She/he also establishes and maintains effective working relationships with key partners.

II. Specific Duties and Responsibilities

Job Responsibility 1:  Planning, Implementation and Monitoring:

  • Ensures that the annual operational  plan encompasses existing commitments to members and other likeminded organizations and are oriented toward accomplishment of the strategic vision and program goal of AIUM; 
  • Works with the team of AIUM to ensure the planned initiatives are in line with the interest and expectation of the organization including members, donors and interested groups; 
  • Develop new program designs based on an ongoing resource, plan and future direction of AIUM; 
  • Helps programs: to assess their program effectiveness, to identify program gaps, and to develop concept papers in coordination with the AIUM’s team;
  • Ensures that all required information/data of AIUM is made available for every party;
  • Ensures building of capacities of  staff through on and off join training;
  • Ensures that all AIUM’s activities are implemented as planned;
  • Undertakes researches, assessments and document the interest of beneficiaries, members and other interested group and share to the Executive Director
  • Produces quarterly, biannual and annual performance reports and submits to the Executive Director.

Job Responsibility 2 Staff Management:

  • Manages, supervises, leads guides and supports staff that report to her/him;
  • Ensures the development of key leadership, and management skills of direct reports to increase their capacity to develop and undertake major initiatives and assumes larger responsibilities to further expand program/project impact and sustainability;
  • Completes performance planning, monitoring, and annual performance appraisals of direct reports.
  • Ensures that reports are prepared and submitted to concerned parties, government, counterparts and AIUM on time and in a professional manner;

Job Responsibility 3: Others:

  • Performs other duties as assigned by the supervisor.

Reports to:  Executive Director

Term of Employment: Contract, renewable in every year

Location: Addis Ababa

Salary:  Negotiable

Job Requirements

Education/Training

MA/MSc or BA/ BSc in Social Science, Management, Behavioral Science, and other related field of studies. 

Work Experience:

2 years

Technical and Other Skills:

  • Proficiency in verbal and written English, proposal development, strategic and operational planning, monitoring and evaluation, report writing;
  • Proficiency in standard office software package;
  • Demonstrated leadership ability to inspire and empower others;
  • Good interpersonal communication skill and ability to effectively liaise with government, community leaders and other stakeholders.

Position 2: Accountant

Job Summary

Under the supervision of the finance manager, the junior accountant manager is responsible for maintaining accurate and complete financial records in accordance with International Accounting Practices and AIUM’s Accounting and Financial Policies and Procedures. 

II. Specific Duties and Responsibilities

  • Provides technical support and training to accountants and cashers working at AIUM
  • Ensures monthly payrolls for all staff are prepared according to policies and procedures of AIUM;
  • Ensures the timely settlement of payroll tax, pension, staff provident fund and other obligations;
  • Ensures that all unused official documents and vouchers of the organization are properly registered and are available in sufficient quantity;
  • Verifies and ensures the required documentation and authorization is presented before effecting payments and encoding data into the system;
  • Ensures that planned activities are carried out in line with the approved annual plan and budget ;
  • Processes payments which involve ensuring all payments are adequately supported by appropriate documentation;
  • Ensures that the necessary format and documentation is used before and after payment is effected;
  • Ensures all suppliers invoices and bills are paid on a timely basis;  
  • Enters all financial data into the computer/accounting system;
  • Prepares journal entries for, transfers, correction and adjustments;
  • Reconciles bank statements with books of accounts;
  • Performs other duties as assigned by immediate supervisor.

Reports to:  Finance manager

Term of Employment: Contract, renewable in every year

Location: Addis Ababa

Salary:  Negotiable

Education/Training

BA in accounting or related field.

Work Experience

2 years/4 years of work experience in relevant field.

Technical and Other Skills

  • Good communication and presentation skills;
  • Well organized and ability to act in a professional and ethical manner;
  • Competency in computer applications;
  • Knowledge of accounting software.
