We are currently looking for a highly organized and detail-oriented individual to join our team as a part-time Secretary and Financial Officer. This role will involve providing administrative support and overseeing financial activities. The ideal candidate should have excellent communication skills, pay close attention to detail, and be able to handle sensitive information with discretion.

Position 1: Secretary and Financial Officer
Responsibilities
Administrative Support:
- Manage executive calendars, schedule meetings, and coordinate travel arrangements.
- Prepare and distribute internal communications, memos, reports, and presentations.
- Maintain accurate records and documentation, including filing and organizing important documents.
- Assist in budgeting and financial tracking by monitoring expenses and preparing financial reports.
- Coordinate office operations, such as ordering supplies, managing vendor relationships, and maintaining office equipment.
- Support HR activities, including onboarding new employees, maintaining employee records, and coordinating training sessions.
- Handle general office tasks, such as answering phone calls, responding to emails, and managing correspondence.
Financial Management:
- Oversee financial transactions, including accounts payable and receivable.
- Prepare and process invoices, purchase orders, and expense reports.
- Reconcile financial statements and ensure accuracy of financial data.
- Assist in the preparation of budgets and financial forecasts.
- Monitor cash flow and manage banking relationships.
- Prepare financial reports for management review.

Qualifications:

- Proficient in financial software and tools.
- Detail-oriented with a focus on accuracy and quality.
- Ability to handle confidential information with discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of administrative procedures and best practices.
- Familiarity with financial regulations and compliance.
Position 2: Project Manager and Administrator
Project Management:
- Develop and implement project plans, including defining project scope, goals, and deliverables.
- Coordinate and manage project resources, including team members, contractors, and external stakeholders.
- Monitor project progress, ensuring adherence to timeline &budget constraints.
- Identify potential risks & develop contingency plans to mitigate them.
- Conduct regular project status meetings & communicate updates to the Team.
- Ensure that project objectives are achieved & deliverables meet quality standards.
- Collaborate with cross-functional teams to streamline processes and improve project efficiency.
Administrative Support:
- Provide administrative assistance to senior management, including scheduling meetings, managing calendars, and making travel arrangements.

- Strong problem-solving skills and the ability to think critically.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of administrative procedures and best practices.
