Job Requirements:
Education: First degree or higher in supply chain management, logistics, business administration, or related fields.

Knowledge: Profound understanding of supply chain principles, including procurement, inventory management, logistics, transportation, and distribution. Familiarity with industry standards and regulations.

Position 6: Office Manger
Under the general supervision and guidance of the Team Leader and DMI Project backstopping manager, the main duties and responsibilities are:
1. Office management
- Manage office work
- Assist the Team of experts in implementing their tasks
- Manage office communication including contact with clients
- Screen and monitor telephone calls
- Maintain, update, and distribute project files
- Schedule meetings and keep track of appointments
- Maintain and update the project’s stakeholder matrix with full contact information, and integrate it with the project’s mailing list for distribution of project outputs
- Create, update, and maintain address lists and other useful documents for smooth functioning of the project office
- Keep track records of meetings and promotional events
- Provide support in the organization and follow up of events
- Provide logistical support to training, workshops, and visits (catering, equipment, promotion material)
- Maintain office supplies (stationary and consumables)
- Assist in editing and finalizing project reports
- Keep the office area well presented for clients
- Handle all types of correspondence (telephone, letter, e-mail)
- Other tasks as they arise at the request of the Team Leader and other experts
2. Project accounting
- Financial project administration (invoices, journals, budget control sheet) including regular exchange with the financial department of DMI and EAGate
- Prepare monthly journals with all expenditures and invoices, and dispatch them to DMI and EAGate
- Under the supervision of the Team Leader, prepare financial forecasts and requests for the advancement of funds
- Prepare budget estimates for all project activities (training, workshops, seminars)
- Review, arrange payment and record all project expenditure vouchers in accordance with the financial regulations of the World Bank, as well as of DMI and EAGate
- File all financial documents and prepare necessary conditions to work with audit agencies or financial inspection agencies as required
- Handle the project’s accounts and finances
- Keep a record of project finance-related requests and related administrative orders
- Handle petty cash and accounting for all expenditures within the project
- Update and maintain financial documentation and filing system
- Ensure that all relevant financial project documents are updated and at disposal
Job Requirements:
- University degree in Accounting, Business Administration, or related discipline
- Previous experience in office management, preferably in previous donor-funded projects
- Computer literacy including Microsoft Word and Excel
- Strong problem solving, collaboration, and organizational skills
- Fluency in English and Somali on top of Amharic
