International Community School of Addis Ababa would like to invites competent and interested candidates for the following positions.

Position 1: Account Receivable Accountant

Role Purpose

The Account Receivable Accountant is responsible for managing and collection of all the outstanding accounts receivables form clients and customers. In addition, he/she may be responsible for other aspects of collections, resolve customer billing problems and reducing the number of accounts receivables.

  • Create customer and job account center for new student based on the approved admission form signed by the principals
  • Handle yearly unearned revenue reversal.
  • Keep logbook for Admission forms received from Registrar
  • Keep new entry and withdrawal list file
  • Prepare tuition invoice for new and returning students.
  • Handle tuition related correspondence on a timely manner
  • Prepare VAT claim monthly and follow up its collection
  • Reconcile Admission office report with the Accounts office tuition ledger account monthly basis
  • Reconcile Account receivable monthly.
  • Reconcile trip account against Cashier follow up file in a regular base
  • Checks and verifies the authenticity of cash receipt documents and records submitted by the cashiers.
  • Code and post receipt on the system as soon as coding verified by the Senior accountant
  • Print and send tuition invoice twice a month to parent and other Customer
  • Contact parent and other customer by telephone and e-mail for outstanding receivables collection.
  • Prepares daily collection report which is an input for daily balance.
  • Journalize account receivable adjustment after Senior accountant review
  • Check settlement account and submit report to Senior Accountants
  • Keep follow up sheet for Laptop, books and musical instrument deposit and refund account.
  • Assist Management and customer to get information from archive whenever is needed
  • Perform other duties as required by the supervisor
  • Participate in monthly and yearly account closing process
  • Assist External Auditors

Minimum Educational Qualifications and Professional Experience Required

Degree in Finance/Accounting/Business Management or other related field with 5 years’ accounting experience

Knowledge, Abilities and Skills

  • Strong analytical skills and ability to work with minimum supervision
  • Detail-oriented and demonstrates a “can-do” positive attitude.
  • Ability to work cooperatively with others in a team environment.
  • Excellent communication skills-verbal and written
  • Excellent skills in QB, MS Excel and Word. Advanced knowledge in Excel understanding concepts of databases,

Position 2: Store Keeper

Duties and Essential Job Functions

  • Directly responsible to safeguard and manage fixed assets kept in the storage facilities.
  • Directly responsible to Receive, Tag, Store and record fixed assets in the asset register using proper documentation (i.e., contract, purchase orders, packing lists, invoices, MRVs and MIVs).
  • Responsible to Issue and return fixed assets to/from residences and campus upon formal request and approval by fulfilling necessary documentations.
  • Responsible to organize, maintain and update individual Fixed Assets Custodianship Files to each employee by completing FARC.
  • Responsible to Furnish make ready apartments and residences with standard set of furniture and appliances in accord to the ICS Home Guide.
  • Responsible to maintain Fixed Asset Register & ensure all fixed assets movements are timely recorded and updated on the Fixed Asset Register.
  • In collaboration with Finance Department,  responsible to calculate  depreciation of all assets using straight line method  per established useful life of the assets
  • In consultation with immediate supervisor, responsible to plan, organize and conduct annual inventory count of residential and schoolwide assets.
  • Responsible to provide weekly, and monthly reports of fixed asset stock positions and movements to the concerned.
  • In collaboration with immediate supervisor, responsible to provide annual Fixed Asset Count reports of residential and schoolwide assets to the concerned.
  • Responsible to make regular periodic spot check of fixed assets in classrooms, offices, and other facilities.
  • Actively engage and assist in the annual Capital Requirements of divisions and property management section.
  • Responsible to propose obsolete, damaged, and unused fixed assets for disposal.
  • In consultation with immediate supervisor, responsible to initiate and organize periodic scrap sales.
  • Responsible to refurbish/restore residential and classroom furniture/equipment to make them ready for use.
  • Responsible to distribute and collect welcome kits to/from make ready houses and apartments.
  • Actively engage in the general and student store operations as directed by supervisor.
  • Responsible to actively participate in shipment sorting and distribution to end users.
  • Perform other related tasks as instructed by immediate supervisor.

Qualifications Required

 BA degree in Supplies and Purchasing Management or related fields with a minimum of 3 years of relevant experience.

Preferred Qualifications

  • Ability to keep accurate records and manage fixed asset software.
  • Proficient with Microsoft Office Suite or related software (software used to maintain/manage fixed assets).
  • Proficiency in spoken and written English.
  • Able to establish and maintain good working relationships with employees.
  • Able to work independently with minimal supervision.
  • Has Integrity, honesty, and high level of accuracy in managing and presenting data/reports.
  • Has Basic Computer skills

Physical Requirements/Work Environment

  • May require lifting items
  • Access and mobility in tight spaces may be required.
  • Must be able to traverse warehouses regularly to observe physical inventory/assets.

Position 3: Procurement Head

Duties and Essential Job Functions

  • Plans, organizes, directs, and controls the work activities of the school procurement section
  • Coordinates activities by scheduling work assignments, setting priorities and directing the work of subordinate employees.
  • Identifies staff development and training needs and ensures that training is obtained.
  • Maintains records, prepares reports, and composes correspondence relative to the work.
  • Selects, administers, and documents progressive and corrective disciplinary measures.
  • Supervise & coordinate the activities of procurement section personnel with direct responsibility to procurement & contracts management.
  • Collaborate with academic and administrative departments to identify procurement needs to be incorporated in the school’s procurement plans
  • Prepare annual school wide procurement plan for operational and capital procurements and follow up its implementation.
  • Coordinate with user departments and technical personnel in the development & documentation of product & service specifications.
  • Ensure efficiency of school’s procurement/sourcing strategies by conducting periodic supply market assessment.
  • Maintain good supplier relations through regular communication, prompt settlement of supplier payments, and addressing any issues of supplier concerns
  • Maintain and update supplier information such as qualifications, delivery times, product ranges, etc including overseas discounted supplier list.
  • Oversee the development of Terms of References (TOR) and Request for Proposals (RFP) in coordination with concerned departments.
  • Conduct Procurement Tenders for construction works, architectural services, consultancy & outsourced services etc by following clear audit trail based on school policy & procedure.
  • Conduct contract negotiations, contract writing and contract administration with suppliers based on school procedures and applicable laws of the country.
  • Manage the school’s overseas procurement consolidation services with contracted consolidators, periodically review performance of consolidators and report to school management.
  • Manage overseas school shipment logistics and ensure expeditious delivery through timely acquisition of duty-free import permits and prompt customs clearance processes. 
  • Ensure the acquisition and documentation of materials receiving & issuance vouchers for all procurement orders.
  • Handle supplier payment requests in a timely manner, based on agreed payment terms and conditions.
  • Maintain complete and updated procurement files both in hardcopy and electronic versions.
  • Control departmental procurement budget and prepare budget performance reports
  • Follow and enforce implementation of school’s procurement policy and procedures in all procurement operations.
  • Recommend measures to improve quality of service, increase the efficiency workers and section as a whole.
  • Keep up-to-date with the latest trends and developments in procurement practices and technologies
  • Coordinate with other departments and staff to ensure that procurement activities support the school’s overall goals and objectives
  • Make periodic on-going productive meetings with co-workers and supervisor.
  • Conduct annual performance appraisal for subordinates as per HR criteria.
  • Perform other related tasks as instructed by immediate supervisor.

Qualifications Required

Degree in Procurement/Purchasing and Supplies Management/Accounting or related fields with 5 years of relevant experience.

Preferred Qualifications

  • Proven language proficiency in written and spoken English
  • Excellent negotiation skills, a strong understanding of the procurement process, and the ability to analyze market trends to make informed purchasing decisions.
  • Strong attention to detail and organizational skills, excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Proficiency in procurement software, systems, and electronic procurement practices
  • Report writing and survey conducting skills
  • Training on supply chain, procurement, logistics and project management is preferred
