Marie Stopes International Ethiopia would like to invites competent and interested candidates for the following Positions.

Position 1: Fleet Administration Officer

Job Summary:

Under the general management of the Fleet Manager, the Fleet Management Officer organizes, coordinates and controls the activities including scheduling of vehicles, checking transport documentation, staff management of the transport team, consumables management, vehicle maintenance and insurance follow-up and other related activities to meet the requirements of work units or centres.

Duties/Tasks:

  • Establishes well organized fleet management system  for efficient office work;
  • Establishes and regularly updates vehicle and driver file in an orderly manner;
  • Maintains history of MSIE vehicles in hard and soft copies for quick reference;
  • Checks completeness and accuracy  of log books and put signature every day;
  • Supervises the timely fuelling, maintenance and servicing of vehicles;
  • Tracks vehicle insurance policies and follow up claims;
  • Makes sure licenses of drivers are  renewed on time and drivers undergo annual eye and medical test;
  • Organizes annual vehicle inspection and ensure vehicles and drivers are  physically fit for work;
  • Based on preventive maintenance schedule, books maintenance and service requirements   of MSIE vehicles in the selected garage/workshop;
  • Maintains accurate  data regarding fuel and maintenance costs, analyse mileages and vehicle running costs for all MSIE vehicles on a monthly basis and provide recommendation to ensure they are operating efficiently and effectively;
  • Develops and implements efficient vehicle booking and planning systems in consultation with user departments;
  • Makes sure daily and monthly vehicle related checklists and reports are used and submitted on time across all field programs;
  • Participates in developing standards regarding tire, fuel replenishment and revision of driving policy;
  • Ensures proper implementation of driving policy;
  • Identifies risk areas and propose preventive measures while transporting people and property;
  • Ascertains that all vehicles are equipped with the necessary first aid kit, tools and fire extinguishing equipment;
  • Prepares and submit periodical maintenance, accident and other reports to immediate supervisor and other mangers as required;
  • Prepares budget for the transport unit and submits monthly cash forecast regarding fuel., perkier and other related expenses;
  • Arranges  training on defensive driving and safety and security related topics to MSIE drivers  to upgrade their skill and minimize risk and damage;
  • Analyses reports generated from vehicle management software and provides regular reports to Fleet Manager;
  • Coordinates transportation of goods to transport supplies, equipment, packages, etc. using either MSIE or rented vehicles for the purpose of picking up and delivering items to designated sites;
  • Participates in the bid preparation and evaluation process to select garages and vehicle rental companies
  • Performs related duties as required

Position 2: Reception/Cashier

DUTIES/TASKS:

  • Receives and handles clients/visitors, provides appropriate information to enquiries and arranges appointments,
  • Collects all clinic income with MSIE’s legal receipts,
  • Maintains adequate security measures for the safe keep of cash and documents in her possession,
  • Prepares, tabulates and submits monthly clients’ statistical data and income statement,
  • Maintains all clients’ cards and records following standard rules and procedures of records control and filing system and ensures that they are up-to-date, orderly, properly filed and readily retrievable for reference and inspection.
  • Handles all communications including making telephone calls and ensuring the receipts of messages.
  • Handles petty-cash fund, the amount of which shall be stipulated by the organization’s financial policy, for payment of the clinic’s small expenses, maintains appropriate and adequate records of transactions effected.

Qualification Requirements

Education:

Diploma in Accounting or Secretarial Science and Office Management

Work Experience:

Two(2) Years of relevant experience

Skills, Attitude and Attributes:

Good Language proficiency of Local Language and spoken English.

Position 3: Senior Biomedical Engineer

Duties and Tasks:

The Senior Biomedical Engineer will perform the following duties and tasks:

1. Perform scheduled preventive maintenance on laboratory and biomedical devices:

  • Develop and implement a preventive maintenance schedule for medical equipment.
  • Conduct regular inspections and maintenance tasks to ensure optimal performance.
  • Clean, lubricate, and calibrate equipment as necessary.
  • Document maintenance activities and keep accurate records.

2. Training staff to use equipment safely:

  • Provide training sessions to healthcare staff on the safe and proper use of medical equipment.
  • Educate users on equipment features, functionality, and safety precautions.
  • Develop training materials and manuals for reference.

3. Troubleshoot and repair office machines:

  • Diagnose and troubleshoot issues with office machines, such as printers, scanners, and copiers.
  • Perform necessary repairs, replace faulty components, and ensure proper functioning.
  • Coordinate with vendors or service providers for complex repairs or maintenance.

4. Perform electrical maintenance and installation works as per maintenance requests:

  • Respond to maintenance requests related to electrical systems and equipment.
  • Conduct electrical repairs, installations, and upgrades according to established procedures and safety standards.
  • Ensure compliance with electrical codes and regulations.

5. Maintain, support, and supervise emergency generators with the assigned technicians:

  • Inspect and maintain emergency generators in health facilities.
  • Coordinate with technicians to ensure proper functioning and readiness of generators.
  • Provide supervision and guidance to technicians working on generator maintenance.

6. Maintain air conditioners, refrigerators, washing machines, hand dryers, etc.:

  • Perform maintenance and repairs on HVAC [Heating, Ventilation, and Air Conditioning] systems, refrigeration units, and other related equipment.
  • Conduct regular inspections, clean filters, and ensure efficient operation.
  • Troubleshoot and repair malfunctions, leaks, or other issues.

7. Conduct maintenance and repair of clinical and medical equipment:

  • Perform maintenance tasks and repairs on clinical and medical equipment in healthcare centers.
  • Diagnose equipment malfunctions, replace faulty parts, and ensure proper calibration.
  • Ensure adherence to quality and safety standards.

8. Deliver, assemble, and test medical equipment, train technicians and end-users:

  • Coordinate the delivery of medical equipment to healthcare centers.
  • Assemble and install equipment, ensuring proper setup and functionality.
  • Conduct testing and calibration to ensure accurate performance.
  • Train technicians and end-users on equipment operation and maintenance.

9. Develop medical equipment specifications and participate in technical committee:

  • Collaborate with stakeholders to determine equipment requirements.
  • Research and evaluate available medical equipment options.
  • Specify technical requirements and performance criteria for equipment procurement.
  • Participate in technical committees related to equipment selection and procurement.

10. Writing and documentation of technical evaluation of medical equipment reports:

  • Prepare technical evaluation reports for medical equipment, documenting findings and recommendations.
  • Ensure accuracy and clarity in reporting technical evaluations.
  • Communicate evaluation results to relevant stakeholders.

11. Support the procurement department for the materials ordered by the departments:

  • Collaborate with the procurement department to identify and order necessary materials and supplies.
  • Provide technical input and guidance in the procurement process.
  • Ensure timely delivery and quality of ordered materials.

12. Closely work with equipment manufacturers and suppliers on technical issues:

  • Collaborate with equipment manufacturers and suppliers to address technical issues.
  • Communicate malfunctions, deficiencies, and improvement suggestions.
  • Coordinate with suppliers for spare parts procurement and availability.

13. Record time and spare parts used; stock fast-moving spare parts:

  • Maintain detailed records of time spent on maintenance tasks.
  • Track and manage the usage of spare parts.
  • Ensure availability of essential spare parts by managing stock levels.

14. Produce weekly, monthly, quarterly, and yearly reports:

  • Generate reports on maintenance activities, equipment performance, and other relevant metrics.
  • Summarize findings, trends, and recommendations in periodic reports.
  • Present reports to management and stakeholders as required.

   15. Collaboration and Teamwork:

  • Biomedical engineering often involves cross-functional collaboration. The Senior Biomedical Engineer may be expected to work closely with other departments, such as IT, facilities, or clinical staff, to address equipment-related issues, implement new technologies, or improve workflow processes.

A. Qualification Requirements:

Education: Diploma and above in Biomedical maintenance.

B. Experience:

At least 4 years of experience for BSc holders, or 6 years of experience for Diploma holders in biomedical equipment maintenance or directly related experience (preferably in medical equipment).

Position 4: Communication, External Relation, & Advocacy Manager

Job Summary:

Under immediate supervision of Marketing and Communication Director, The External relation, communication and Advocacy  Manager plays a crucial role in enabling the achievement of MSIE’s mission by advocating and influencing policy change, as well as developing, managing and sustaining relationships with key stakeholders that are critical to MSIE, particularly with respect to its mission, goals and objectives of advancing increased access to family planning and sexual and reproductive health rights and services for the low to middle income and vulnerable women and youths of Ethiopian.

Education Qualification:

  • University Degree in Health Science, Social Science, or International Development Management; master’s degree is an added advantage.
  • Fluent English both oral and written.
  • Knowledge of Clinical Health, Community Outreach, Family Planning, Social Marketing and Social Franchising
  • Computer literate, proficient in MS Word, Power Point presentation and Excel (essential).

Experience / Knowledge (essential/desirable

  • At least five years’ relevant experience, three of which must be related to Advocacy and Policy work (essential).
  • Demonstrated record in engaging and influencing senior policymakers, donors and civil society agencies to deliver strategic advocacy outcomes.
  • Established and network of relationships with politicians, decision makers, and international agencies within Ethiopia.
  • Experience in planning of advocacy campaigns and events
  • Experience in dealing with press requests
  • Experience in working with women and youth network groups
  • Good knowledge of the health sector in Ethiopia an important advantage (desirable).
