Metropolitan Real Estate PLC would like to invites competent and interested candidates for the following positions.

Position 1: Archive Specialist

Job Description:

  • Maintain a record of the incoming files in the company and store them properly using suitable and appropriate reference codes.
  • Classify files, depending on their content and purpose, before filing
  • Photocopying, scanning, labeling, sorting, and filing incoming documents
  • Maintain an indexed record of the location of the files on a computer system for easy access.
  • Conduct a periodic inspection of the logs of files available and eliminate or move unwanted and old documents to other places.
  • Make necessary changes to the existing file management system to match the current requirements of the company
  • Place and keep up-to-date a master list of archived files
  • Keep logs of paperwork for original documents that are detached from the folder
  • Conduct confidentiality and safety checks on the files and make sure that nobody is making illegal use of the information available with the company and that the files are not handed to any unauthorized persons
  • Tracking document movement by numbering and filing incoming and outgoing letters and other documents
  • Locating and providing documents to authorized employees when needed for work purposes
  • Updating document index
  • Ensuring that authorized personnel only access the company documents
  • Responsible for ensuring all project documents and records are maintained;
  • Perform other related tasks and functions

Job Requirements:

  • Advanced level of English
  • Ability to multitask, prioritize, and manage time efficiently
  • Minimum of one year Data Management or transferable skills and related experience
  • Bachelors degree preferred
  • Exceptional organizational skills
  • Ability to drive the archive process from start to finish
  • Proficient in Microsoft Office applications and Adobe Acrobat
  • Ability to manage multiple priorities and to switch focus seamlessly
  • Excellent communication skills and the ability to work well with others
  • A commitment to meet deadlines with a keen focus on details

Position 2: Administrative Secretary

Responsibilities:

  • Managing schedules and calendars for executives and staff, ensuring efficient scheduling, and conflict resolution
  • Handling various forms of communication, including phone calls, emails, and routine inquiries, as well as ensuring smooth and efficient communication.
  • Creating, formatting, and editing documents, reports, and presentations, as well as maintaining and organizing digital and physical files and records
  • Arranging travel accommodations, including flights, accommodations, and transportation, and preparing itineraries and travel documents
  • Data entry and record keeping: maintaining accurate and up-to-date records in various systems like spreadsheets and databases
  • Greeting visitors, answering questions, and directing them to the appropriate department while managing the reception area and maintaining a professional image
  • Coordinating and setting up meetings, preparing materials, taking minutes, and ensuring proper equipment in the meeting rooms.
  • Conducting extensive research on various topics, gathering necessary information, and preparing reports, summaries, and presentations.

Job Requirements:

  • A bachelor’s degree in business administration or a related field is preferable.
  • Proven 2+ years of experience in an administrative support role
  • Having experience writing letters to government offices will be preferable.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Attention to detail and accuracy
  • Ability to multitask and prioritize tasks effectively
  • Good in-state correspondence when writing letters.

Position 3: Senior Liaison Officer

Key Responsibilities:

  • Establish and maintain positive relationships with government officials, regulatory bodies, and local authorities.
  • Monitor and stay informed about changes in regulations and policies affecting the real estate industry.
  • Act as a liaison between Metropolitan Real Estate Ethiopia and relevant government agencies to ensure compliance with all legal requirements.
  • Foster and promote communications among other professional organizations, the community, and product vendors.
  • Work closely with project teams to coordinate and facilitate necessary permits, approvals, and licenses.
  • Ensure timely and efficient communication between Metropolitan Real Estate Ethiopia and external partners involved in real estate projects.
  • Respect the image and integrity of the company
  • Deliver documents to all the interested parties and similarly, receive documents from both external and internal parties
  • Identify potential risks related to regulatory compliance and community relations
  • Report to his or her manager on a daily and weekly basis on community issues and the projects’ performance in relation to those issues
  • Forward questions about the project from community leaders and residents to appropriate government authorities and the Manager
  • Perform various tasks assigned by the employer or authorized personnel of the employer in various governmental and non-governmental organizations
  • Adopt a flexible, amicable, and community-oriented approach Employ utmost professional wisdom and care in the timely execution of assigned tasks
  • Keep confidential all information that comes to knowledge in the process of executing assigned duties

Job Requirements:

  • Bachelor’s degree in Business Administration, Public Relations, or any related field
  • Proven experience in a liaison or government affairs role, preferably within the real estate industry.
  • Strong sense of confidentiality
  • Strong knowledge of local regulations and government processes.
  • Excellent communication and negotiation skills.
  • Ability to work collaboratively with internal and external stakeholders.
  • Excellent problem-solving and conflict resolution skills
  • Being proactive and responsible with a professional attitude
  • Critical and creative thinking and analysis of the situation and making strategic decisions to reach the goal Prior experience in the field of liaison or procurement specialist
  • Ability to work effectively under high pressure, multi-task and be flexible

Position 4: General Service Assistant

In this role, you will be responsible for a variety of tasks, including:

  • Assist in the day-to-day operations of general services to ensure the organization’s general service needs are met. These activities may include office supplies, general service assistance, fleet management, cleaning, gardening, maintenance services, etc.
  • As per the direction of the immediate supervisor, oversee maintenance activities (generators, water tanks, and other office utilities) and upgrades to equipment, facilities, and systems to minimize disruptions to business activities.
  • Assist in various activities related to such areas as shipping and receiving, material handling, warehousing and inventory control, and/or property management, as appropriate to the position.
  • Operates various items of light and/or heavy equipment as appropriate for routine site maintenance, removal, and/or repair activities, etc.
  • Oversee the expat residence area as per the issued company regulation and follow up on residence fixed assets, utilities, generators, and water tanks.
  • Assist in maintaining the cleanliness and serviceability of facilities, plants, grounds, and/or equipment as assigned.
  • May perform routine, minor maintenance, installation, and repair of physical plant and equipment for the unit as appropriate to the position; may assist with and/or coordinate larger on-site maintenance and repair projects as required.
  • Follow-up drivers, kitchen, and security employees on duty are presentable for the work environment.
  • Follow up and pay various utilities for the company, including car insurance.
  • Performs miscellaneous job-related duties as assigned.
  • Assisting managing relationships with vendors, service providers and landlords, ensuring that all items are invoiced and paid on time

Job Requirements:

  • High school diploma and BA degree Inventory and Stock, Purchasing and Procurement, Maintenance, related with at least 1(one) year of experience directly related to the duties and responsibilities specified.
  • Valid Ethiopian driving license (minimum category public 1).
  • Ability to work independently with minimum supervision.
  • Ability to work productively in a fast-paced, team- and detail-oriented environment and produce accurate work under pressure.
  • Ability to establish and maintain effective and constructive working relationships with people from different national and/or cultural backgrounds.

Position 5: Senior Real Estate Sales Professionals

Responsibilities:

  • Conduct himself/herself in a manner consistent with the high image, reputation, and credibility of the company and its apartment units, and shall engage in no activity that reflects adversely on the client or its apartment units.
  • Use his/her best efforts to seek buyers for the apartment units, promote sales of the apartment units in a diligent and aggressive manner, and forward all customers and relevant information to the Company.
  • Requires a strategic thinker with excellent communication and negotiation skills to make data-driven decisions for clients’ real estate portfolios.
  • Meeting sales goals by monitoring progress.

Job Requirements:

  • Bachelor’s Degree in Sales, Marketing Management, and Business or in a related field
  • Five 5+ years of experience in Sales with 3+ years of Real Estate Sales experiences
  • Has proven success in Sales
  • Excellent interpersonal, communication, and presentation skills
  • Outstanding sales and negotiation abilities
  • Self-motivated and target-driven attitude
  • Proficient computer skills and experience with real estate software (CRM systems, property databases, etc.)
