Position 1: Tender Supervisor
Job Summary: The Tender Supervisor is responsible for coordinating and managing the tender department team that has the skills to prepare and submit a winning bid, whilst taking ownership of the end-to-end bid process. This is a highly networked role that requires an ability to work under pressure and to challenging deadlines. It requires strong people management and commercial skills.
Duties and Responsibilities:
Manage & oversee all tender activities & review all the work done by subordinates.
Identify bid opportunities and source tenders from newspapers, electronic and others means.
Approve & coordinate the preparation and submission of bids and compliant tender documents in a timely manner.
Examine and understand technical & non-technical requirements of the bid in coordination with Pre-Sales team and offer appropriate tender solution as per the RFP.
Communicate & liaise with relevant stakeholders like suppliers and prepare the technical and financial bid proposals as per the bid requirement (RFP).
Manage all pre and post bid submission correspondences with the purchasing entity (Buyer).
Provide quality assurance checks and balances and review of tender proposals before submission and ensure accurate bid readings are obtained for market intelligence.
Conduct staff training & coaching as required.
Engage in staff performance management & review of the department.
Prepare periodic performance reports of the tender team and participate in management meeting.
Job Requirements
Qualification Requirement:
Education:
B.A. Degree in Sales, Marketing, Business Administration, or related field.
Work Experience:
Minimum of 3 years of work experience in Sales & Marketing related positions on a senior or supervisory role.
Experience working on tenders in technology related areas is highly desirable.
Required Skills:
High proficiency in Windows and MS Office environment.
Supervisory & leadership skills.
Good communication and organizational skills.
Fluency in English both in Written & Spoken.
Able to work flexible hours & meet deadlines.
IT background is highly preferable.
Ability to work under pressure.
Position 2: Tender Officer
Job Summary: The Tender Officer is responsible for assisting in the preparation of Compliant Technical and Financial tender documents in coordination with the pre-sales team and ensures all the required documents are fulfilled in a timely manner.
Duties and Responsibilities:
Participate in purchasing of approved tenders as per guideline.
Attend pre-bid meetings, handle bid related correspondences like letters to and from the buyer … and provide reports to the tender department.
Perform all clerical and office activities in bid document preparation and handle bid eligibility documents like bank guarantee, sample deliveries ….
Carefully compile, scan and bind complete bid documents on time as per company guidelines.
Submit complete tender documents on time, attend openings and record bid readings and prepare complete reports to the department.
Involve in follow up and timely settlement and execution of post bid activities as per company guidelines.
Job Requirements

Work Experience: Minimum of 1 year of work experience in Sales & Marketing related positions. Experience working on tenders in technology related areas is highly desirable.

Fluency in English both in Written & Spoken.· Able to work flexible hours & meet deadlines.· IT background is highly preferable.· Ability to work under pressure.· Attention to details and ability to strictly follow and implement instructions.
Position 3: Senior Tender Officer
Job Summary: Senior Tender Officer is responsible for the preparation of Compliant Technical and Financial tender documents in coordination with the pre-sales team and ensures all the required documents are fulfilled in a timely manner.
Duties and Responsibilities
Source tenders from relevant sources as per guidelines.
Acquire approved bids on time, review and ensure all RFP requirements are complied.
Prepare detailed technical bid proposal documents in collaboration with the technical Pre-Sales team and the tender supervisor as per company policies & guidelines.
Communicate & liaise with relevant stakeholders like suppliers, Procuring entity (buyer) and prepare complete technical bid proposals as per the bid requirement (RFP).
Arrange all required non-technical documents like bank guarantee, MAF, … as per the RFP and prepare a complete technical document ready for submission.
Submit Bid proposals and perform post-bid activities collaborating with the tender team as per company guidelines.
Properly manage all tender data in the company SAP ERP system.
Job Requirements
Job Requirement
BA Degree in Sales, Marketing, Business Administration, or related field.
Work Experience: Minimum of 3 years of work experience in Sales & Marketing related positions of which 1 year work experience on senior position. Experience working on tenders in technology related areas is highly desirable
Required Skills:
High proficiency in Windows and MS Office environment.
Team work, Good communication and organizational skills.
Fluency in English both in Written & Spoken.
Able to work flexible hours & meet deadlines.
IT background is highly preferable.
Ability to work under pressure.
Attention to details and ability to strictly follow and implement instructions.
