PATH works with orphans and vulnerable children in the areas of education, mentorship and character growth, menstrual hygiene management, and also with their female guardians in the area of women’s empowerment. PATH has now opened a head office in Addis Ababa, as differentiated from our field office in Chiro Town. Therefore, PATH is looking to hire an Administration Assistant to aid in the affairs of this head office.
Path Ministries International would like to invites competent and interested candidates for the following position.
Position: Administration Assistant
Major duties and responsibilities
Administration
- Assist in head office administration
- Make telephone calls to relay incoming, outgoing, and internal calls
- Ensure precise and accessible archiving of documents
- Prepare documented files for meetings, trips, purchasing, etc.
- Take notes and write minutes
- Receive quarterly and annual reports from the field office and submit them to the government stakeholders
- Communicate with the auditor
- Occasionally represent the organization by participating in government and NGO meetings
Finance
- Manage head office accounting tasks
- Serve as a bank account signatory and any withdrawal of money from this account that may be required for the operation of PATH Ministries International.
- Keep the account records by using the existing accounting system.
- This may include Peachtree Accounting Software and/or QuickBooks Accounting Software.
- Communicate with the international office and field office to prepare any financial documents or information
- Ensure budgets are prepared in accordance with the designed program/projects.
- Work with field office accountant to prepare monthly, quarterly, and yearly financial reports
- Review financial reports and communicate with field accountant
- Facilitate the purchasing of items from Addis Ababa
- Prepare the payroll and timely deposit of taxes to the tax authority.
- Prepare monthly bank and book reconciliations.
- Before the 5th day of every month, prepare and send to US office-based accountant monthly accounting software backups, monthly excel financial reports, and the end of the month bank statement.
- Collect, filter, and prepare VAT, withholding, pensions, and income tax summary.
- Participate in preparation and year end closing of accounts for auditing.
- Handle confidential documents ensuring they remain secure
- Prepare invoices or financial statements and provide assistance in book keeping
- Make all payments with a proper payment request form and through/with original invoices and/or approved e-mails
- Make sure all invoices and other payment initiating support documents are original, free of cancellation, and readable
- Ensure files are kept and maintained
- Maintain all necessary information of the assets in detail
- Perform other related tasks as per the supervisor’s request
Administration Assistant Job Description:
Category: Accounting and Finance, Administration
Career Level: Junior Level (3+ years’ experience)
Employment Type: Part-time/flexible hours, contract based with possibility of extension.
Person Specifications:
- Degree in Accounting, Business Administration, or related field
- 3+ years’ experience
- Ability to understand and respect the cultural, religious, and political environment and to work well with staff and local authorities in a diplomatic manner
- Good interpersonal skills and team player with sensitivity to cultural diversity
Competencies:
- Ability to plan own work, set priorities, complete work under pressure or when faced with competing demands
- Mandatory knowledge of Quick Books, Peachtree, Microsoft Excel (especially how to use formulas), and Microsoft Word
