Position 1: Executive Assistant

Responsibilities

Major Duties: Assist the CEO in the day to day activities :

Foundation: Calendar Management, Inbox Management and Travel Management. 

Essentials: Quick Communications, Research and Information Seeking, Expenses and Invoicing and Financial Management, Goals and Routines Management, Online Brand and Presence Management and Shopping. 

Career: Database, Reporting, and Document Management, Event Management, Meeting Support, Networking, Project and Administration Management and Recruitment Support. 

Health: Diet Support, Fitness Management, and Healthcare. 

Fulfillment: Reading and Listening Management

Relationships: Occasion Calendars, and Quality Time Prioritization

Job Requirements

  • Highly organized with keen attention to detail
  • Bachelor’s degree in business management, Accounting, office Secretary, or a related field preferred with more than 2/3 years’ work experience as an executive assistant or related post.
  • Strong coordination, communication, and organisational skills.
  • Proven ability to use initiative, prioritize, multi-task, and work well under pressure
  • Professional communication skills in English and Amharic
  • Excellent time-management combined with an impressive level of detail orientation
  • Working knowledge of technologies (MS Office suite, One Drive, Teams.), social media, and startups

Position 2: Office Assistant & Reception

Responsibilities

  • Warmly greet visitors, determine their needs, and provide appropriate assistance.
  • Answer incoming calls and direct them to the appropriate person or department.
  • Assisting with scheduling and coordinating appointments
  • Receive and sort Calls, SMS, mail, and deliveries, and distribute them to the appropriate staff member.
  • Provide administrative support such as Secretarial Service, filing, copying, and data entry.
  • Maintain a clean and organized reception area.
  • Update phone directories and personnel lists as necessary.
  • Assist with other administrative tasks and special tasks as assigned.
  • Preparing and distributing internal and external correspondence
  • Maintaining accurate records and files
  • Performing other duties as assigned by management

Position 3: Senior Graphic Designer

Responsibilities:

  • Study design briefs and determine requirements. 
  • Conceptualize visuals based on requirements. 
  • Prepare rough drafts and present ideas. 
  • Develop illustrations, videos, logos and other designs using software or by hand. 
  • Use the appropriate colors and layouts for each graphic. 
  • Work with copywriters and creative director to produce final design. 
  • Test graphics across various media 
  • Amend designs after feedback. 
  • Ensure final graphics and layouts are visually appealing and on-brand. 
  • Develop creative concepts for different Ads.

Job Requirements

  • Proven graphic designing experience. 
  • A strong portfolio of illustrations or other graphics 
  • Familiarity with design software and technologies (such as InDesign, Illustrator, Dreamweaver, Photoshop) 
  • A keen eye for aesthetics and details 
  • Excellent communication skills 
  • Ability to work methodically and meet deadlines. 
  • Degree in Design, Fine Arts or related field is a plus.

Position 4: Senior Reporter

Job Responsibilities:

  • Write multiple stories per week, adhering to prescribed editorial style and standards.
  • Research news and potential news stories, evaluating leads tips to develop story ideas.
  • Maintain contact with sources and organizations for updates on events, issues, and news.
  • Complete tasks assigned by editors and ensure their execution.
  • Communicate with the editorial team about the production of scheduled stories through various channels.
  • Write news, features, and other types of stories concisely, accurately, and coherently under deadline pressure.
  • Publish finished works on the website using WordPress
  • Attend public meetings and create graphics and photos to illustrate stories, working cooperatively with the graphics team.
  • Assist, supervise, and support new team members joining the organization, and collaborate with other members of the Shega team.
  • Learn about the various tasks related to running a digital media and provide input in Shega Media’s overall digital growth  

Job Requirements

Ideal candidates will be passionate about the potential of innovation to transform and impact life and businesses across Africa, have an interest in writing content related to innovation, business, technology, and startups, possess strong analytical and excellent communication skills. Fluency in Amharic and good English writing skills are required.

Position 5: PR Manager

Responsibilities

  • Preparing and carrying out PR campaigns and strategies 
  • Monitoring the public and media’s opinion of our client or employer 
  • Writing and editing press releases, byline articles, keynote presentations speeches… 
  • Utilizing all forms of media, including national, regional and trade press, to build, maintain and manage the portrayal of a business 
  • Representing your company at events 
  • Acting as a spokesperson for the company’s brand 
  • Training employees on how to handle media enquiries and press interviews 
  • Developing good working relationships with the media and liaising with the press on potential news stories 
  • Preparing quarterly and annually reports 
  • Collaborating with the digital team to make sure the communication is in line with the communication standards 
  • Devising and coordinating events 
  • Monitoring publicity and press coverage 
  • Commissioning market research 
  • Coordinating paid and unpaid advertising. 
  • Coordinating all public relations activities 
  • Maintain a keen understanding of industry trends affecting clients and make appropriate recommendations regarding communication strategy surrounding them

Position 6: Commercial Director

The goal is fully utilize commercial opportunities Shega has created over the past few year with the aim of growing revenue generation and lead the company to sustainable path.

  • Develop and implement commercial strategies according to company goals and objectives aiming to accelerate growth
  • Conducting market research and analysis to create detailed business plans on commercial opportunities (Scaling, expansion, business development, Grant, Competitions, etc.)
  • Understand the requirements of existing customers to ensure their needs are being met
  • Act to acquire new customers and manage client relationships (new and existing)
  • Collaborate with and coordinate diverse teams (shega insights, shega media and brand studio, Finance and Admin etc.)
  • Build and maintain profitable partnerships with key stakeholders
  • Monitor performance of commercial activities using key metrics and prepare reports for senior management
  • Assist in setting financial targets and budget development and monitoring
  • Manage Grant Applications, Competitions and other Financial resource generation channels that are identified

Position 7: Finance Manager

Responsibilities 

Periodic Activities:

Responsible for providing accurate budget information to the company leadership and project managers. Maintain management accounts and update cash flow projections. Develop and maintain chart of accounts and financial management mechanisms and templates that facilitate accurate financial planning and reporting.

  • Support the leadership team on monthly/quarterly business performance reviews and will be expected to take the lead on both Finance and Commercial matters impacting the business.
  • Responsible for the preparation of monthly, quarterly, interim and financial year end accounts.
  • Prepare trial balances, financial statements and statistical reports. Complete monthly account reconciliations that agree to the general ledger.
  • Ensure that payroll processing and associated tax activities are completed accurately and on time. Supervise and review bank and petty cash reconciliations.
  • Responsible for ensuring the accuracy of monthly staff timesheets; leaves taken, checking & processing staff expense claims.
  • Make budget analysis, controls allocated budget, and reports excess utilization.
  • Prepare and maintain all financial records, ensure balance sheet reconciliations are completed on a monthly basis in full compliance with the government regulations and registration requirements
  • Ensure timely annual audit is carried out by external auditors and providing the required support
  • Completion and filing of all tax returns including but limited to VAT, WHT as well us filing monthly / quarterly returns as per statutory regulations of ERCA.
  • Ensure that the company business license and commercial registration are renewed in a timely basis
  • Provide input into improving Shega’s financial policies and procedures and embed a culture of compliance across the office.

Routine Activities

  • Responsible for the purchase ledger which includes managing the finance email mailbox; dealing with invoice queries; processing supplier’s invoices; reconciliation of the purchase ledger.
  • Managing the sales invoicing process; preparing client sales invoices; credit control. Verify source documents, vouchers, the validity of payments, receipts and assign code numbers as per operating procedures.
  • Ensure all legitimate payments are made on time and with necessary approvals. Setting up suppliers payments through our banks online payment system and ensure timely preparation of receivables and payables.
  • Carry out routine accounting tasks; prepare vouchers; reconcile bank statements. Make entries to journals; posts to control and subsidiary ledgers; checks transactions; maintains the accounting and/or budgetary records in safe custody.
  • Closely work with HR and Admin officer.

Essential

  • BA Degree in Accounting, Accounting and Finance or related fields.
  • 5+ years finance experience within a consultancy environment and Innovative business
  • Must be highly organised, pro-active and confident with the ability to work calmly and effectively whilst under pressure.
  • Experience of working effectively to strict deadlines.
  • English language proficiency – Excellent writing skills, with the ability to communicate findings and recommendations clearly to a range of audiences.
  • Experience handing the financial e-mail account and ability to analyse transactions and prepare financial reports.
  • A team player who is a fast learner, flexible and able to adapt to changing priorities, and able to work under pressure.
  • Excellent listening skills, patience, and a great sense of humour.

Desirable

  • Qualified or working towards a finance qualification
  • IFRS Certification
  • Working knowledge of Microsoft Application, Practical and Proved Knowledge of Peachtree Accounting and other Accounting Software.
  • Experience of working with multi-currencies

Position 8: Digital Marketing and Community Manager

Duties and Responsibilities:

Digital Marketing:

Social Media – The candidate is responsible or managing Shega’s or clients social media presence. The tasks include developing, implementing and managing social media strategy, defining the most important social media KPIs, creating, managing and oversee visual and written social media content, collaborate with the team for monthly editorial calendar and measure performances.

Advertisement – Developing banners, animated ads, and commercials for display on third-party websites that can be put on other websites to push traffic to Shega or for clients who want to promote and put an advertisement on the Shega’s platform.

SEO and SEM – The candidate is responsible for ensuring Shega’s platform or client’s website is easily found by the target audience. The responsibility includes optimizing website structure and content for search engines (SEO) and/or the use of paid online advertising (SEM)to drive relevant traffic to Shega. Specific tasks include:

  • Optimize every page/ post category of Shega
  • Find the best SEO services for Shega (plugins, external services etc for best optimization of Shega), integrate them with Shega’s site and manage their usage
  • Research both local and foreign competitors online performance and find out why (the keywords they use etc)
  • Research and provide keywords in Shega’s reporting Shega to use in their articles
  • Optimize every Shega article after they are posted.
  • Optimize old posts of Shega
  • Prepare an SEO guideline to be used by Shega reporters when writing articles and oversee their adaptation
  • Provide monthly/ weekly performance reports of posts for the editorial team

Community Management

As a Community Manager at Shega, you’ll support our organization’s online community by monitoring the engagement on various social media platforms. More specifically you’ll get to:

  • Manage Social Media campaigns for various social media platforms to align with marketing strategies
  • Host online and physical events that increase our engagement with our community
  • Stay up-to-date with the latest industry and digital trends
  • Build relationships with the online community
  • Monitor and provide feedback on engagement/conversation via social media channels to leadership
  • Create engaging content for all platforms, including blog pieces, articles, social media posts, newsletters, and videos.
  • Engage with the online community and respond to comments and requests.
  • Analyze web traffic and relevant community metrics.
  • Relay community feedback to relevant internal stakeholders.
  • Devise and implement community communication initiatives.
  • Liaise with other departments to stay updated on new marketing initiatives, product and service developments, and to ensure brand consistency.
  • Attend networking events or relevant industry workshops.

Job Requirements
