Position 1: Information Technology Manager 

Responsibilities and tasks will include, but are not limited to:

  • Managing IT staff by recruiting and training employees, communicating job expectations, and monitoring performance
  • Overseeing the annual IT budget and ensuring cost-effectiveness
  • Monitoring daily operations, including server hardware, software, and operating systems
  • Coordinating technology installations, upgrades, and maintenance
  • Selecting and purchasing new and replacement hardware and software, when necessary
  • Testing, troubleshooting, and modifying information systems so that they operate effectively
  • Generating performance reports for operating systems
  • Assuring all IT activities are performed within the parameters of applicable laws, codes, and regulations
  • Evaluating technology risks in order to develop a network disaster recovery plan and backup procedures
  • Remaining up to date with advances in technology and industry best practices

Job Requirements

Qualifications:

  • Bachelor’s degree in information technology, computer science, software engineering, or a related field
  • Proven experience in managing IT infrastructure and services
  • Experience with computer networks, network administration, and network installation
  • Proficient in computer hardware, cabling installation and support, wireless technology applications and interface, and IT security
  • Proficient in Microsoft Windows software, including server, office, and exchange
  • Management and leadership skills
  • Multi-tasking and time-management skills, with the ability to prioritize tasks
  • Highly organized and detail-oriented
  • Excellent analytical and problem-solving skills
  • Flexible working hours

Preferred:

Knowledge of USAID

Position 2: Finance Associate

Responsibilities and tasks will include, but are not limited to:

  • Review and understand the process for preparing and submitting monthly field report
  • Prepare disbursement vouchers, file vouchers and stamp the documents as ‘PAID’
  • Support disbursement of vouchers and journal entries
  • Conduct petty cash reconciliation
  • Receive and verify orders (when placed by the Project Coordinator)
  • Place orders as needed.
  • Organize and track all documents to and from Finance and Administration department
  • Review payment requests against receipts provided
  • Arrange payments to suppliers, subcontractors, and subgrantees
  • Review purchase requisitions
  • Understand and manage the maintenance of electronic, scanned, and manual filing systems for all financial and administration documents
  • Carry out inventory reconciliation and tagging and numbering of assets
  • Reconcile office supplies, requisition consumables, and stationery from stores
  • Assist in the documentation and gathering necessary information to prepare a VAT report and other financial reports
  • Other finance and administration areas as needed

Job Requirements

Minimum Qualifications, Skills and Experience:

  • Degree in Accounting, Business Administration (B. Com, BBA) or comparable certifications/qualifications
  • Proficiency in Microsoft office products (Word, Excel, PowerPoint etc.)
  • Ability to communicate clearly and concisely in English (both oral and written)
  • Must demonstrate initiative and proactiveness
  • Must possess professional demeanor and ability to work in a team environment
  • High degree of integrity

Preferred:

Knowledge of USAID regulations relating to financial management and reporting

Position 3: Procurement & Grants Manager

Responsibilities:

  • Support with the development, regular updating, and annual review/revision of the Ethiopia Learning Analytics Activity grants and procurement policies and procedures
  • Organize necessary documents for the implementation of the Ethiopia Learning Analytics Activity grants and procurement policies and procedures
  • Provide staff training on grants and procurement under the Ethiopia Learning Analytics Activity
  • Oversee the day to day activities of Ethiopia Learning Analytics Activity related to grants and procurement
  • Oversee compliance to USAID regulations and Kaizen policies and procedures related to grants and procurement
  • Establish and manage grants and procurement trackers and ensure that necessary documentations are maintained
  • Ensure procurements are completed as per Kaizen policy and USAID regulations
  • Conduct periodic internal quality assessments against Ethiopia Learning Analytics Activity grants and procurement efforts, including assessments of grantees and vendors
  • Provide support and ad-hoc reports to Chief of Party on grants and procurement initiatives; and
  • Other tasks as reasonably assigned.

Qualifications:

  • At least a bachelor’s degree or higher in a relevant field such as international development, political science, statistics, or public policy/administration
  • At least 3 years of experience in grants and/or procurement for international development projects in Ethiopia. Experience on USAID-funded projects is preferred
  • Must have demonstrated experience in preparing and supporting grants and/or procurement tools, templates, policies, and procedures to international development donors under supervision
  • Must have English proficiency sufficient to conduct all aspects of project business and operations
  • Strong work ethic, critical thinking abilities, and history of excelling at his/her work with minimal oversight
  • Must have proven experience in managing own time and schedule
  • Must be an Ethiopian citizen.

Preferred:

Knowledge of USAID regulations as they relate to grants management and procurement

Position 4: Finance Manager

Responsibilities and Tasks:

  • Maintain all administrative and financial records for the project and prepare reports in compliance with USAID, U.S. government, and Kaizen policies;
  • Establish and manage financial systems and a set of operational protocols that enable transparency, accountability, and accuracy;
  • Direct all aspects of the project financial accounting system, including managing cash flow, tracking expenditures relevant to operating budget, reconciling bank records, and preparing and reconciling monthly financial and bank account reports;
  • Develop, analyze, and monitor program budgets;
  • Oversee and supervise the procurement of goods and services, vendor and contractual payments, and awarding of task orders consistent with USAID regulations and Kaizen Home Office policies and procedures;
  • Provide technical assistance and/or training, as needed, for staff and partners on financial systems, protocols, policies, compliance, and reporting;
  • Identify and implement changes to financial policies and procedures that will enhance cost-effectiveness and program implementation;
  • Assist the COP in the recruitment, hiring, and contracting of local staff, consultants, and contractors, arranging technical and administrative support as necessary;
  • Advise the COP on all policy matters concerning project financial management;
  • Supervise other project-based finance, procurement, administrative, and contract staff.

Qualifications:

  • Bachelor’s degree in finance, accounting, or business is required. Master’s degree in relevant field is preferred
  • Minimum 8 years’ experience managing financial objectives of donor-funded projects in Ethiopia
  • Must have demonstrated experience establishing and overseeing grants and/or procurement systems in the international development field;
  • Strong work ethic, critical thinking abilities, and history of excelling at his/her work with minimal oversight;
  • Must have English proficiency sufficient to conduct all aspects of project business and operations;
  • Must be an Ethiopian citizen

Preferred:

Knowledge of USAID regulations related to financial management and reporting

Position 5: Communications/Knowledge Management Specialist

Responsibilities and tasks will include, but are not limited to:

  • Lead strategic communications efforts to ensure effective communication with stakeholders and partners.
  • Develop written communications, such as case studies and success stories, to showcase the Mission’s successes and impact.
  • Support the development of learning products, including infographics, that convey information in easily digestible formats.
  • Work collaboratively with the Mission team and other key stakeholders to strengthen coordination and collaboration.
  • Provide guidance and support to team members on best practices for knowledge management and communication.
  • Develop and implement a knowledge management strategy to ensure the effective capture and dissemination of information.
  • Analyze and evaluate the effectiveness of communication efforts and make recommendations for any improvement.
  • Monitor and analyze communication metrics to evaluate the effectiveness of communication strategies and make recommendations for improvement.
  • Stay up to date with industry trends and developments in knowledge management and communication strategies.

Job Requirements

Qualifications

Required:

  • Bachelor’s degree in Communications, Social Sciences, Media Studies, or a related field.
  • A minimum of three years of experience in knowledge management and communications role, preferably in the context of the development sector.
  • Excellent written and verbal communication skills, with the ability to develop clear and concise messaging across multiple channels.
  • Demonstrated experience in developing case studies, success stories, and learning products in various formats.
  • Ability to work collaboratively with staff and partners at all levels of the organization.
  • Strong analytical skills, with the ability to evaluate communication metrics and make data-driven recommendations.
  • Ability to adapt to changing priorities and work in a fast-paced environment.

Preferred:

  • Master’s degree in a relevant field
  • Prior experience supporting USAID Missions
