Catholic Relief Services would like to invites competent and interested candidates for the following positions.

Position 1: Senior Project Officer – Gender

Job Summary:

As a member of Ifaa project team, the gender senior project office (SPO) will provide technical advice and support to a range of program design and implementation issues in the area of gender and capacity strengthening of Ifaa/RFSA staff (CRS and partners) in line with Catholic Relief Services (CRS) program quality principles and standards, donor guidelines, and industry best practices to advance the delivery of high-quality programming to the poor and vulnerable. The SPO is particularly expected to coordinate the support to Ifaa partners in gender integration and ensure that Ifaa applies best practices and constantly works towards improving the impact of its benefits to those we serve.

Education and Experience

  • Completion of 1st Degree (Gender, sociology, social work, development studies) with five years relevant work experience OR
  • Completion of 2nd Degree in (Gender, sociology, social work, development studies) with three years relevant work experience.
  • At least 5 or 3 years’ work experience in developing and supporting gender responsive, integrated and inclusive development and food security programming. Experience with NGO is a plus.
  • Experience with conducting gender analyses, assessments and evaluations and other gender- related research, including applying data collection tools and methodologies.
  • Experience in participatory action planning and community engagement
  • Demonstrated ability to provide technical support and guidance on gender issues, including gender integration, protection.
  • Demonstrated experience in gender and development project design, implementation, monitoring and evaluation.
  • Experience using MS Windows and MS Office packages (Excel, Word, PowerPoint).

  • Skills and experience in working effectively with partners and stakeholders (government and non- government) to achieve ifaa objectives.

Required/Desired Foreign Language

  • Excellent written and verbal communication skills in English and Afaan Oromo; ability to  draft and edit reports.
  • Written and verbal skills in Amharic is a plus

Travel Required: Field travel required.

Internal: Ifaa/RFSA Chief of Party, DCOP for Gender and Youth/ Gender, Youth and Social Dynamics Lead/, DCOP for Programming, Ifaa team technical and operation teams, CP gender unit, all Country Program staff, Regional and Headquarters gender and youth technical advisors

External: Ifaa Consortium members, local government stakeholders and communities and, representatives from for-profit and other non-profit organizations, private sectors and peer organizations operating in Ifaa woredas.

Position 2: Administrative Officer

Job Responsibilities:

  • Coordinate and report on activities and required resources to ensure cost efficient and quality service delivery from administrative support functions.
  • Help ensure administrative systems, processes, and policies are in line with agency standards and donor and local law regulations. 
  • Engage with relevant external stakeholders (government officials, partners, landlords, service providers, etc.) on assigned administrative matters and help ensure required authorizations and documents are up-to-date.
  • Coordinate the efficient use of CP assets and rented facilities. Help ensure fully compliant procurement of office materials and asset management systems.
  • Provide support on administrative department transactions and processes (e.g. draft letters, prepare lease contract agreements, proofread, draft simple correspondence/ memo, payment requests, purchase request, advance request, liquidation, etc.).
  • Ensure the availability of stationary materials and office supplies, plan and request quarterly needs and distribute as needed.
  • Ensure the timely preparation of service contracts with owners and vendors including insurance companies, security and cleaning companies. Help on the timely payment facilitation for rental houses, office buildings and staff parking spaces.
  • Supervise office attendants, outsourced service givers and interns. Serve as a focal person for internal communication related to administrative support services.
  • Performs miscellaneous job-related duties as assigned.

Education and Experience

  • BA/BSC Degree in supplies and purchasing management or related field from recognized institution
  • 4 years of relevant experience is required
  • Additional education may substitute for some experience.
  • Experience and proficient skills in MS Office package (Excel, Word, PowerPoint, Visio) and information management systems.

Position 3: Administrative Assistant – Property

Job Responsibilities:

  • Facilitate communication with all units of the organization and external stakeholders as relevant, especially in relation with receiving & issuing of goods, periodic inventory, Sending/receiving regarding assets under the custody of each staff.
  • Post the received and issued goods on system/insight/e.g., receive expected shipments, inspect receipts, and put away receipts and prepare final distribution issue/delivery notes/, and record lot numbers and serial numbers of the received and issued assets/goods.
  • Support implementation of property management processes, such as property receipt and distribution, property labeling, physical counts, etc. Updating stock balance (e.g.  recording of the issued, received and transferred goods).
  • Prepare transactional documents in support of general property operations processes and support coordination of transaction processing (e.g. asset transfer requests, documenting assets transfer agreements, etc.).
  • Support implementation of property management processes, such as property receipt and distribution, property labeling, physical counts, etc.
  • Responsible & maintain all the temporary /transit stores within CRS Addis Ababa, and closely work with CRS ITC unit in relation with inventories of ICT related assets.
  • Performs miscellaneous job-related duties as assigned.

Education and Experience

  • High School diploma required. Professional diploma/Certificate or courses in Administration preferred.
  • Two years’ experience working in an office environment in a clerical or administrative role. Experience with a local or international NGO a plus.
  • Additional education may substitute for some experience.
  • Experience with warehousing, inventory administration function, data entry into online databases and forms, and working with various office equipment.
  • Experience in MS Office package (Excel, Word, PowerPoint, Visio) and information management systems.

  • Good time management skills with ability to work on multiple tasks

Position 4: Office Maintenance – Attendant

Job Responsibilities:

  • Protecting the staff, premises and assets of CRS/Ethiopia from possible accident/damage
  • Watches the office building/stairs as necessary and if there are concerns that require immediate attention directly perform or advise manager/supervisor about the issue;
  • Checks and ensures that all property to be taken out of the compound is accompanied with authorized gate pass and share gate passes to security company guards.
  • On a daily basis ensure that gate passes are collected from company guards; follow up the return of items that leaves the organization for maintenance purpose.
  • Assist in safeguarding, protection and proper use of office equipment, office facilities and inform the appropriate personnel of any concerns or issues timely for appropriate action.

 Handling messages and mails:

  • Receives messages and mail and keeps safely in absence of the receptionist and delivers them to the relevant person during office hours;
  • Assist visitors while the receptionist/her replacement is not around.
  • Closely work with company security guards in welcoming/accompanying visitors to the place visitors mentioned; check the availability of staff first and it’s after approval that accompaniment take place.
  • Assist the receptionist in handling visitors and issuing them with visitor’s badge and direct/usher them to the proper sources in order to address their concerns.

 Office Errand:

  • Request the need, facilitate advance cash, purchase water and deliver to each floor all the time, settle expenses and liquidate the cash advance taken.
  • Facilitate cash advance and provide weekly refreshment with traditional bread services.
  • As instructed by supervisor assist departments with their need; it could be performing the movement of furniture and equipment, office supplies, files, making photocopies/binding etc.
  • Assist in preparation of conference rooms for any meetings, training or event.
  • Report any observations of irregularities in safety and security issues/breaches, such as broken windows, faulty electric lines, water leakages etc. to immediate supervisor/concerned individual.
  • Assist in fixing minor repair issues in the toilet, bulb change and the like when necessary.
  • Perform other duties as found necessary and as instructed.

Education and Experience:

  • Completion of 10th grade
  • 1 year of relevant experience is required

 Personal Skills:

  • Skill Knowledge of security methods and techniques
  • Knowledge of CRS/ET’s security regulations and procedures
  • Ability to detect and avoid probable danger
  • Ability to work effectively with people
  • Ability to follow oral and written instructions
  • Skill in the use of security devices
  • Interpersonal skill
