Position: Administrative Assistant (Finance & Admin)
Job Summary
DKT Ethiopia is seeking a highly organized, trustworthy, and detail-oriented Administrative Assistant to provide essential support to our Finance and Administration department. This is a unique hybrid role where your primary responsibility will be to ensure the smooth execution of financial and administrative processes that are critical to our operations.
Key Responsibilities and Duties
Financial and Accounting Support (Primary Focus):
Payment Processing: Prepare payment vouchers and checks, ensuring all requests are supported by proper documentation (invoices, receipts, approvals) in compliance with DKT’s financial policies.
Record Keeping: Maintain a systematic and accessible filing system for all financial documents, including payment vouchers, bank statements, supplier invoices, and contracts, ensuring they are always audit-ready.
Petty Cash Management: Manage the office petty cash fund, including handling disbursements, collecting receipts, and preparing timely reconciliation reports for replenishment.
Expense Reporting: Review staff travel advances and expense reports for accuracy, completeness, and adherence to policy before submitting them for approval.
Data Entry: Assist with data entry into the accounting system (e.g., Peachtree/Sage) under the supervision of the finance team.
Bank Relations: Assist with bank-related activities, such as depositing checks, delivering payment instructions, and collecting bank statements.
Procurement and Vendor Support:
Support the procurement process by collecting proforma invoices from suppliers and preparing purchase requests as per organizational guidelines.
Liaise with suppliers and vendors regarding invoices, payment status, and required documentation (e.g., TIN certificates).
Maintain an organized database of suppliers and procurement records for easy reference.
General Administrative Support:
Provide logistical support for finance department meetings, trainings, and workshops.
Manage the inventory of office supplies, with a special focus on finance-related materials (e.g., checkbooks, receipt pads, official stamps).
Handle departmental correspondence, scanning, photocopying, and filing as required.
Provide backup support to the front desk during absences or peak times
Reports to: Finance Manager
Job Requirement
Qualifications and Skills Required:
Bachelor’s Degree in Accounting, Finance, Business Administration, or a related field.
A minimum of 2+ years of professional experience in an administrative role with significant exposure to finance or accounting tasks.
Excellent command of both Afaan Oromoo, Amharic and English (written and verbal).
Duty Station: Adama
