Position 1: – HR Documentation Assistant

JOB SUMMARY

The Documentation Assistant will be responsible for arranging paper and digital records in a consistent and logical order, in accordance with the SP HR Procedures.

KEY RESPONSIBILITIES

  • Checks and assesses completeness
  • Ensure paper and digital records are arranged in a consistent and logical order.
  • Scanning and archiving large quantities of data.
  • Assist staff in retrieval of both paper and digital records.
  • Handling sensitive documents which require a trustworthy individual.
  • Compiling, checking and proper filing of all personnel documents.
  • Assist with preparation of documents for internal audit.
  • With a generous and serving spirit perform all other tasks and responsibilities as may be assigned for the benefit of Samaritan’s Purse.

EDUCATION / EXPERIENCE NEEDED

  • Bachelor’s Degree in Business or related field
  • At least one 1(one)-year experience as an Office Admin, Documentation Assistant, HR Assistant, or related

SKILLS REQUIRED

Position 2: – Human Resource Coordinator

JOB SUMMARY

The Human resources coordinator will be reporting to the HR Manager and assist in the administration of employee-related issues and implement plans across every area of human resources, including recruiting, compensation, payroll and benefits, employment regulations, training and development, and employee safety and wellbeing. Human resources coordinators oversee issues related to employment, compensation, labor negotiations, and employee relations. Their work is often focused on improving HR policies, processes, and practices and recommending changes to HR management. To ensure efficient operations, the HR Coordinator performs a substantial amount of research, data analysis, and reporting as it relates to employee productivity.

KEY RESPONSIBILITIES:

  • Work directly with and report to the HR Manager regarding all HR endeavors
  • Fellow up and support HR Manager in educating employees on and enforcing company policies
  • conduct recruitment/hiring process by sourcing candidates, performing background checks, assisting in shortlisting, etc.
  • Schedule meetings, interviews, HR events etc. and maintain the team’s agenda
  • Support managers and staff in performance management and provide necessary tracking and follow-up.
  • Maintaining new hire, and employee change data in SP HR system
  • Helping employees file health, and other benefit claims
  • Coordinate training sessions and seminars
  • Assisting with new employee hiring processes
  • Oversee salary changes, compensations, deductions, vacations payouts, and benefits for employees.
  • Conduct and follow up performance review process
  • Foster positive employee relations and work to solve any employee issues that surface
  • Make sure all employee records are filed correctly and kept confidential
  • Perform orientations and onboarding
  • Update the project’s organizational chart and job descriptions
  • Supervise/perform payroll procedures, ensuring that all data related to monthly salary calculations are entered correctly and required documents are submitted to Finance in a timely manner
  • Be a vital source of human resources information, answering any questions employees may have
  • Maintaining records of personnel-related data in both paper and the database and ensure all employment requirements are met
  • Update themselves and supervisees with knowledge about Ethiopian Labor law
  • Execute all employee termination procedures, including advising employees on their rights and benefits they are entitled to
  • Any other duties assigned

EDUCATION / EXPERIENCE NEEDED

  • BA degree in Human Resources, Public Administration, or related field and/or equivalent experience.
  • At least four(4) years related experience required.
  • Experience in NGO setup is a plus

Position 3: – Human Resource Officer

JOB SUMMARY:

The Human Resources Officer will be providing support in the various human resources functions for the Samaritan’s Purse office, which include recruiting, staffing, training and development, and performance monitoring. In addition, the HR Officer who will be involved in sourcing, supporting the development and implementation of HR initiatives and systems of the overall HR strategy and assist in creating and implementing HR policies and procedures.

KEY RESPONSIBILITIES:

  • Schedule job interviews with candidates in accordance with SP procedure.
  • Guide and lead recruitment processes, ensure that candidate selection processes are in accordance with the SP policies
  • Maintain accurate, updated and confidential personnel and recruitment files and trackers.
  • Review and monitor the status of all national staff employment contracts in the Center and ensure completeness and that it is up-to-date.
  • Prepare all new and revised staff data sheets and personal declarations
  • Maintain an accurate, updated and well organized, confidential HR filing system.
  • Lead new staff induction processes ensuring that all new staffs are introduced to SPE policies and procedures and that they are re-oriented on a periodic basis.
  • Maintain tracking sheets for all employment, service and consultancy contracts and advise the HR Coordinator of contracts expiring within two months.
  • Support the tracking of employee time-sheets, and track leave/vacation
  • Answer any employee queries about people or HR-related issues, and help resolve them internally, if possible.
  • Work closely with the HR Coordinator to implement annual and probationary performance review processes.
  • Ensure that all staff departing from SPE completes a full and documented handover and that exit interviews are conducted.
  • Any other related tasks as requested by HR Manager.

EDUCATION / EXPERIENCE NEEDED

  • BA in Business Administration, Public Administration, Social Studies or relevant field; further training will be a plus
  • At least 2(two) years’ experience in HR with other NGO or Private Organization

Position 4: – Protection/MHPSS Program (Safe Haven) Host Mother

JOB SUMMARY:

The Host Mothers (HMs) hired will care for the emotional needs of the children and be responsible for the everyday function of child-friendly spaces (safe havens) as part of more extensive mental health and psychosocial support programming in Shire, Tigray, for conflict-affected children and vulnerable women.

Qualified candidates will demonstrate a strong Christian witness and have a heart for staff, volunteers, and the community.  Also desired is the ability to work well in a team environment.

KEY RESPONSIBILITIES

Under the supervision of the Protection/MHPSS Program Manager (PM), the Host Mothers will undertake the following tasks:

  • Maintaining the safe haven, playing games with the children, and setting up coloring and writing stations (with paper and colored pencils) for children to come and play at
  • Under the leadership of the PM, be responsible for the day-to-day running as well as the strategic management of the hot meal distributions at the safe havens
  • Ensure that hot meal distributions run smoothly and safe havens are kept clean and organized
  • Monitor delivery of project components (such as ingredients for the hot meals, material for the children to use at the safe havens, and other supporting items) and report any issues with implementation
  • Involve in the setup of safe havens to make sure the sites are safe for children to play in
  • Be involved in training on various Protection and MHPSS program standards, PSEA, Provision of Psychological First Aid (PFA), basic hygiene, and referral linkages
  • Support the collection of beneficiary data and contribute to success story and report writing
  • Be present on all days on which the safe havens are running
  • Report any project feedback, complaints, or suggestions for improvement to the PM or other relevant program staff
  • Maintain good relationships with stakeholders and project staff for the smooth functioning of the safe havens
  • All other duties as assigned

Position 5: Finance and Admin officer

Job Summary:

The Finance Officer will support the Finance Coordinator, in the day-to-day operation of the finance unit. The Finance Officer is responsible for cash handling and record keeping of the day to day financial transactions of the office in accordance with SP policy and procedures.

Key Responsibilities:

  • Support the Finance Manager in setting up and implementing Samaritan’s Purse accounting systems and procedures over cash 
  • Provide required weekly reports by specified deadlines to the Finance Manager as assigned.
  • Ensure financial/accounting activity is carried out accurately and in accordance with Samaritan’s Purse field accounting policies
  • Review and ensure accuracy of financial transactions for Samaritan’s Purse field operations based in the region as appropriate (includes vouchers, FERs, Cash Advances, transfers, etc.)
  • Administer all cash advances to employees and partners, reconciling all receipts and cash
  • Responsible for deducting Withholding taxes on payment declarations to ERCA thereof
  • Ensure administrative and financial activity is carried out in accordance with SP field policies
  • Provide support to other office staff with regards to administrative needs
  • Any other duties as may be required from time to time.

Education / Experience Needed:

Bachelor of Art in Accounting/Finance or Business Management.

2/3 years work experience working with International NGO’s and US Government award desired

LANGUAGE:

Fluency in English, Amharic or Afar Regional language required

Position 6: Finance Officer

JOB SUMMARY:

The Finance Officer supports the regional finance Coordinator in executing the general administrative and financial duties of the program. The FO is responsible for managing the finances of the program, ensuring that finance systems/ procedures are adhered to, maintaining financial control, and minimizing any associated risks within the context of the humanitarian aid.

The Finance Officer is responsible for cash handling and record keeping of the day to day financial transactions of the office in accordance with SP policy and procedures.

KEY RESPONSIBILITIES:

  • To assist the Finance Coordinator in ensuring that timely and accurate payments are made.
  • Ensure accuracy and completeness of payment documents in compliance with Samaritan’s Purse (SP) and donor policies and procedures.
  • Facilitate and support staff members with their Cash Advance (CA) requests and timely clearance or settlement of CAs with proper and complete documentation.
  • Ensure completeness of supporting documents in all respect which includes authenticity of signatures, cross-checking attendance sheets and verifying payments made to casuals and volunteers.
  • Recording all vouchers into transaction spreadsheet on daily basis for review by the Finance Coordinator. Ensure that all information in the spreadsheet is correct and complete.
  • Processing of petty cash transactions on daily basis. Ensure petty cash is replenished on time to meet daily cash needs. Cooperate with cash count as per the SP policy and schedule. Document the cash count sheets for records.
  • Prepare all payments and make sure that they are properly coded and supported with relevant and necessary documents.
  • Assist Finance coordinator with monthly bank account reconciliation.
  • Ensure all the financial documents are properly filed and numbered.
  • ‘Paid’ stamping of all the invoices and related documents before filing.
  • Ensure timely preparation of tax & deposit into bank.
  • Visit Bank for necessary collection & submission of financial documents.
  • Assist with timely scanning and uploading on online platform of all completed finance documents.
  • Perform any other task as assigned by the line manager/immediate supervisor

EDUCATION / EXPERIENCE NEEDED

  • BA Accounting, Finance or related field of study
  • Two years related experience and/or training or equivalent combination of education and experience.
  • Experienced working with NGOs will be an added advantage

LANGUAGE

  • Amharic and English (spoken and written required)
  • Somai languages strongly desired

SKILLS REQUIRED:
