ASK US would like to invites competent and interested candidates for the following positions.

Position 1: – Administration and Finance Coordinator

Job summary

The Administration and Finance Coordinator, under the supervision of General manager of ASKUS, will coordinate and mange financial, HR and material resources of ASKUS, and will be responsible for the overall controlling of ASKUS finance budget, HR and material planning, reporting. He/she will support the finance and HR personnel, and also the management of ASKUS by offering insights advise on finance, HR and property management that will allow them to make the best decisions for the organization.

Duties and responsibilities

Financial Management:

  • Plan and coordinate the activities related to the annual budget and monthly forecasting process.
  • Provide financial reports and interpret financial information to managerial staff, Donor and Government stakeholders while recommending further courses of action and communicating significant variances on a timely basis, including coordinating adjustments when needed
  • Advise on financial activities and provide strategies that the organization should take
  • provide financial training and guidance to program staff and partners
  • Participate in ongoing analysis, forecasting and review of project expenses
  • Check and control the financial sustainability of the organization.
  • Analyze the budgets & actual performance compared to the organization plan.
  • Develop good trends and forecasts for the organization finances.
  • Conduct reviews and evaluations for cost-reduction opportunities.
  • Oversee operations of the finance department, set goals and objectives, and design a framework for these to be met.
  • Manage and intensively participate in preparation of the organization’s budget.
  • Liaise with auditors to ensure appropriate monitoring of organization finances is maintained.
  • Match with various other departments/programs, discussing organization financial plans and agreeing on future paths to be taken.
  • Track the transfer of funds and manage accounting and finance records, including developing tracking, and monitoring all financial project activities, and maintaining current project expense data.
  • Ensuring compliance with all donor and home office procedures.
  • Draft quarterly and annual financial reports on the financial status of project expenses and budget information and submit to approval

HR and Property Management:

  • Oversee, coordinate and plan, HR need and administration of the organization
  • Plan and coordinate property, logistics and procurement need of ASKUS in line with ongoing projects
  • Other duties as assigned by supervisor.

Reports to: General Manager, ASKUS

Duty station: Addis Ababa ASKUS Head Office

Required education and work experiences

  • Minimum Eight years of experience as a Admi and Financial Manager preferably in the NGO sector
  • Master’s degree in finance, accounting, management, business administration with 6 years’ experience and at least she/he works 2 years in admin and finance Or BA degree in in finance, accounting, management, business administration with 8 years’ experience and at least she/he works Two years in Admin and Finance)
  • Proficient user of finance software
  • Strong interpersonal, communication, and presentation skills
  • Able to manage, guide and lead employees to ensure appropriate financial processes are being used
  • A solid understanding of financial statistics and accounting principles
  • Working knowledge of all legal legislation and regulations
  • Professional qualifications will be considered a plus
  • Able to work under stress and deliver results timely
  • Effective verbal and written communication skills, able to effectively interact with different levels of the organizational bodies.
  • Able to manage multiple projects with varying but stringent deadlines.

Position 2: Program Coordinator

Job summary

The program coordinator, under the supervision of program manager  of ASKUS, coordinate the  implementation of quality HIV prevention, treatment, care and support programs, community-based A&Y PSS programs, youth champion programs, social networking, partnership and sub-national AYLHIV governance and development, national policy advocacy programs on AYLHIV gender inequality and human rights to ensure AYLHIV social, economic, physical and health wellbeing.

Duties and responsibilities

 Program Implementation and Capacity Development

  • Provide technical support to and technically oversee the implementation of program activities with partners and staff.
  • Coordinate and facilitate the development, implementation, and monitoring of community-based A&Y PSS, HIV treatment and care and support projects work plan, including budget and results framework.
  • Coordinate and facilitate the development, implementation, and monitoring of youth champion, social networking projects work plan, including budget and results framework.
  • Coordinate and facilitate AYLHIV associations development and governance arrangements
  • Support and coordinate delivery of the day-to-day project activities to ensure prompt and adequate delivery of results.
  • Work with staff and implementing partners to ensure reports and assigned resources are used in accordance with quality and transparent standards.
  • Contribute to information-sharing and data management systems.
  • Compile monthly and quarterly reports, on time and with accurate data.
  • Identify opportunities for capacity building and facilitate technical/ programming support and training.
  • Work with teams to develop appropriate prevention and awareness-raising/behavior change strategies.
  • Any other duties as directed by ASKUS management and supervisors.

Monitoring, Evaluation and Reporting

  • Provide technical inputs to the monitoring and reporting system as well as evaluation of the program and projects.
  • Conduct frequent field visits to supervise, coordinate and monitor field level activities.
  • Produce reports on monitoring missions, program results, outputs, and outcomes.
  • Provide substantive inputs to the preparation of donor and ASKUS reports.
  • Support in the development of reports, proposals, case studies and other relevant documentation.

Advocacy, partnership and communication

  • Coordinate and support the organization of advocacy activities and campaigns events, trainings and workshops regarding AYLHIV.
  • Establish partnership with the major Health sector actors and partners to ensure smooth relationship and communications are built to exchange results, success stories and best practices.

Financial Management

  • Develop work, spending and procurement plans in line with ASKUS’s financial policies.
  • Work with Finance department to ensure appropriate program budgets utilization.
  • Monitor budget implementation and coordinate budget re-alignments/ revisions, as necessary.
  • Ensure compliance with donor financial regulations.

Representations

  • Represent ASKUS at national level technical working groups, and other relevant platforms as assigned by general manager
  • Reports to: General Manager, ASKUS

Job Requirements

Required education and work experiences

  • Bachelor or masters degree in public health, social sciences or a related Field of studies 
  • Minimum of 6-8 years of experience in the field of HIV/AIDS prevention, care and treatment program and project management in Ethiopian context
  • Extensive experience working with youth and adolescents particularly AYLHIV,
  • Hands-on and tangible experience designing APLHIV programs and projects 
  • Excellent interpersonal and communication skills
  • Excellent analytical and report writing skills
  • Professional assessment report writing and presentation skills
