Inter Aide France would like to invites competent and interested candidates for the following positions.

Position 1: Procurement Officer

Job Description

The main responsibilities and tasks can be divided into three main fields of work: –

  • Tender processes and documentation
  • Field coordination and logistics
  • Market research and General

Tender processes and documentation:

  • Ensure rules/ procedures/ principles of all Inter Aide, RCBDIA, and Ethiopian law are well respected.
  • Prepare procurement plans for the purchase of equipment, services, and supplies for the office and projects, alongside project officers and coordinators.
  • Organize the procurement tracking system and support the program and management teams by providing them with up-to-date and reliable information on the procurement status.
  • Prepare standard bidding documents, with terms and conditions of the tender.
  • Analyze quotations, and prepare the bid analysis, purchase orders, tender evaluation, and contract agreements, and other documentation as required.
  • Maintain accurate filing systems and ensure that all procurements of goods are managed, tracked, and recorded as required by the program and HQ teams.
  • Review field office procurement records to ensure compliance, maintain appropriate purchase documentation, and obtain the necessary approvals.
  • Update the Google Drive with complete procurement folders, to be available by field teams, Addis office and HQ in France.
  • Work with Logistics Manager to priorities urgent requests and management of delivery of procured goods and services.

Field coordination and logistics:

  • Check delivery of procured goods to Sodo and ensure that they fit with the technical requirements requested. Then coordinate their onwards delivery to project sites as required.
  • Organize the loading/unloading of store goods when dispatched to projects and partner organizations.
  • Ensure detailed documentation is kept to track the deliveries of goods and services to the relevant project teams.
  • Monitor stock levels of all items and ensure that stock levels are kept at appropriate levels to allow for uninterrupted operations. This includes both project materials as well as garage stock.
  • Monitor the purchase of goods and services under framework contracts and liaise with project teams to ensure everyone is aware of any contract amendments and an alert system is put in place for when the quantities set out in the framework contract are soon to be used up.

Market research & general:

  • Research and evaluate potential suppliers in the project areas.
  • Create and maintain professional relationships with new and existing vendors and suppliers.
  • Conduct market price assessments for planning and budgeting purposes.
  • Manage auction sales, and/or any process of removing assets.
  • Manage renewal processes for insurance, bollo and other items required for car and motorbike fleet.
  • Develop and maintain constructive and cooperative working relationships with colleagues and management.
  • Perform any other related duties as required.
  • Type of Employment: on a contract basis (one-year contract with a high possibility for open-ended extension upon meeting performance requirements in the first year)

Duty Station: Wolita Soddo, with frequent travel to the field of operations in SNNPR zones, where Inter Aide and RCBDIA intervene.

Main duties: under the direct supervision of by the logistics manager of Inter Aide and the Finance Director of RCBDIA.

Job Requirements

Qualifications and work experience requirements:

  • BA/ in Logistic, Purchasing, Procurement, accounting and Finance
  • Three years of relevant experience for degree holders.
  • Ability to deliver organizational and departmental vision, values, and goals.
  • Project management approaches to workload, able to work under pressure, give informed advice and make sound judgments and decisions.
  • Analytical and problem-solving skills for successful resolution of complex procurement issues.

Skills and interests required:

  • Ability to work effectively in partnership with managers, senior colleagues, employees, stakeholders, and boards.
  • Excellent communicator and able to influence and negotiate.
  • Excellent in English written and spoken.
  • Strong capacity in office software especially Excel
  • Presentational skills and the ability to communicate effectively with a wide range of audiences

Position 2: IT Officer

Job role

The IT Officer is responsible for monitoring, maintaining and upgrading the computer systems and networks. The day to day responsibilities will include installing and configuring computer systems, diagnosing hardware and software faults and solving technical and application problems. The IT Officer will oversee the smooth running of computer systems and programs whilst ensuring users get maximum benefits from them.

Responsibilities:

  • Set up workstations with computers and necessary peripheral devices (routers, printers etc.)
  • Check computer hardware (HDD, mouses, keyboards etc.) to ensure functionality
  • Install and configure appropriate software and functions according to specifications for organizations at coordination and field offices.
  • Manage (schedule, communicate, coordinate and effectively carryout) regular servicing of computers in use at different project and coordination offices by establishing sound communication and coordination scheme with relevant managers, department heads, and employees.
  • Develop and maintain local networks in ways that optimize performance
  • Ensure security and privacy of networks and computer systems
  • Provide orientation and guidance to users on how to operate new software and computer equipment
  • Organize and schedule upgrades and maintenance without deterring others from completing their work
  • Perform troubleshooting to diagnose and resolve problems (repair or replace parts, debugging etc.)
  • Maintain records/logs of repairs and fixes and maintenance schedule
  • Identify computer or network equipment shortages and place orders
  • Provide technical assistance/ support to employees in computer and other IT equipment issues across the organization (field and coordination offices)
  • Ensure and maintain up to date record and inventory of computers, printers, scanners, other IT equipment and all associated spare parts.
  • Carry out other computer and IT related duties as assigned or required
  • Type of Employment: on a contract basis (one-year contract with a high possibility for open-ended extension upon meeting performance requirements in the first year)

Duty Station: Wolita Soddo, with frequent travel to the field of operations in SNNPR zones, where Inter Aide and RCBDIA intervene.

 Main duties: under the direct supervision by the project coordinator and technical supervision of IT consultant.

Job Requirements

  • Proven experience as IT Officer or relevant position
  • Excellent diagnostic and problem-solving skills
  • Excellent communication ability
  • Outstanding organizational and time-management skills
  • In depth understanding of diverse computer systems and networks
  • Good knowledge of internet security and data privacy principles
  • Degree in Computer Science, engineering or relevant field
  • Certification as IT Technician will be an advantage (e.g. CompTIA A+, Microsoft Certified IT Professional)
